NN Asset Management Transforms Mutual Fund Distribution with PCS
NN Asset Management manages a portfolio of 12 mutual funds with assets of approximately €171 million. Mutual fund distribution and investor servicing were traditionally supported through manual processes within the insurance network, with limited digital access for end investors.
To support more efficient operations and meet growing demand for transparency and immediacy, NN moved to a digital platform that simplifies administration and provides investors with real-time access to their investment information.
Business Case
Manual workflows and delayed investor communication
Before the implementation, mutual fund subscriptions followed a fully manual process:
- Paper-based subscription forms completed with insurance agents
- Repeated entry of investor and co-investor data for each transaction
- Fax or email submission to the back office for manual registration
- Manual verification, unit calculation, and physical mailing of confirmations
This approach resulted in high administrative cost, increased operational risk, and significant delays in informing investors about their transactions.
NN required a solution that would:
- Support a transition to a digital operating model
- Integrate fully with existing back-office systems
- Enable straight-through processing
- Provide investors with immediate access to transaction and historical data
Solution
PCS Funds Platform & Mutual Funds Portal
NN implemented the PCS Funds Portal, part of the PCS Funds Platform, to digitise investor servicing and fund distribution through a single, integrated digital environment.
The project was delivered in two focused phases, allowing rapid digital rollout while progressively enabling full transaction automation.
Phase A — Digital Investor Access
The first phase introduced secure online access for investors through a responsive web platform, accessible from desktop and mobile devices. Key capabilities included:
- Visibility of mutual fund investments and active positions
- Portfolio valuation and performance overview
- Access to historical fund prices
- Online access to KIID, factsheets, and prospectuses
Phase B — Transaction Processing & STP Integration
The second phase extended the platform to support end-to-end transaction processing, fully integrated with NN Asset Management’s back-office systems.
Functionality included:
- Online submission of subscriptions, redemptions, and fund switches
- Real-time visibility of transactions pending settlement
- Automated settlement workflows
- Digital transaction confirmations
- Online reconciliation and approval processes
Business Benefits
Operational efficiency and cost reduction
By digitising the full mutual fund distribution and investor servicing process, NN significantly reduced administrative effort and operational complexity. Direct integration between the front-office platform and back-office systems eliminated repeated data entry and manual processing, allowing transactions to flow automatically through the organisation with greater speed, accuracy, and control.
A modern, self-service investor experience
The new platform also transformed the investor experience. Investors can now access their portfolios directly, submit transactions online, and track their positions and performance in real time, without intermediary involvement. Transaction confirmations and unit allocation updates are delivered promptly after price finalisation, replacing a process that previously relied on offline communication and extended waiting periods.
Strategic and commercial impact
Beyond operational improvements, the digital platform provided NN Asset Management with a stronger market position. By offering online mutual fund services and real-time investor information, the company aligned its services with modern client behaviour and expectations. The solution established a scalable digital foundation that supports improved engagement, easier access to new investment products, and the company’s broader digital strategy.
